Overview

You will act as a primary point of contact for clients, members in the media, and internal teams regarding PR campaigns. This involves high levels of planning, coordination, communication, tracking, monitoring, problem solving and adjusting execution as needed to achieve the best results for each individual campaign.

Primary Responsibilities:

  • Provide strategic calendar mangement including coordinating and supporting the CEO's external event schdule

  • Responsible for managing schedules and communications of the key company executives

  • Field calls and emails to the CEO's office

  • Their duties will include prioritizing emails and phone calls

  • Assist with all internal meeting arrangements including booking rooms, technology set-up, preparation/printing materials, coordination of attenddes, etc.

  • Manage general office administration and supplies, liaising with the facilities group t coordinate office maintenance as necessary

  • Demonstrate emotional intelligence, judgement, discretion, and confidentiality in all maters

  • Demonstrate an ability to anticipate problems and help avert them

  • Assist with the coordination and preparation of presentations, meeting materials, and special projects on behalf of the CEO, beginning to learn and understand the internal landscape (company culture, organizatinal strucutre, operating model, etc.) and external marketplace (industry, competitors, etc.)

  • Assist with the design and develoment of presentations, proposals and meeting materials, beginning to learn and demonstrate a graphic/visual sensibility and clear communication style

  • Assists with note taking, meeting documentation, and follow-ups

  • Assists with various SNA content initiatives, maintaining an awareness of high-level productions schedules, deadlines, and key deliverables

  • At times, may conribute to content assignments, research, and/or special projects

  • Collaborates effectively with editorial leaders and internal partners such as Finance and HR to help the CEO execute company-wide programs such as performance and compensation reviews, workforce planning, talent reviews, etc. 

  • Some of the responsibilities included in the job are assisting with all internal meeting arrangements. 

  • Coordinating travel arrangements. 

Minimum Requirements:

  • College degree and 1-2 years combined internship/work experience providing administrative support, ideally in the communications, entertainment, creative, or public relations industry

  • Proficiency in G-Suite

  • Strong verbal communication, interpersonal, and collaboration skills - comfortable liaising with people at all levels across global boarders

  • Strong written communication skills including grammar and proof-reading ability

  • Strong organizational and time-management skills including ability to juggle multiple tasks at once while being extremely punctual, proactive, and deadline-oriented

  • Solutions-oriented with an abiliity to think on you feet and demonstrate personal accountability, initiative, and follow-through

  • Impeccable attention to detail

  • Confidence, enthusiasm, and a can-do attitude balanced by humility and a willingness to learn

  • Experience working with multiple countries/markets, a big plus
